Key Responsibilities: Staff Management and HR Coordination:<ul><li>Prepare and manage staff rotas, ensuring adequate staffing levels at both clinic locations.</li><li>Act as the line manager for the admin team, ensuring all team members are clear on their daily responsibilities.</li><li>Conduct training sessions for new and existing staff to ensure compliance with clinic protocols and high standards of service.</li><li>Conduct quarterly and annual staff performance reviews and appraisals to support staff development.</li><li>Assist with recruitment, onboarding, and induction of new employees.</li></ul> Clinical Updates:<ul><li>Act as a point of contact between the clinical staff </li><li>Manage appointments schedule - to make sure that both locations are running smoothly</li><li>Manage rota for the clinicians (open, close appointments, holidays cover)</li><li>Be aware about clinical updates in the clinic, high ricks, follow ups and repot to the Medical Director</li></ul> Patient Experience and Satisfaction:<ul><li>Ensure client inquiries, both online and offline, are addressed promptly and professionally.</li><li>Maintain a high level of patient satisfaction by monitoring feedback and implementing improvements.</li><li>Handle patient complaints or concerns, resolving them promptly to ensure a positive outcome.</li><li>Collaborate with clinicians and other staff to optimize patient flow and reduce waiting times.</li></ul> Operational Management:<ul><li>Manage inventory and ensure equipment is properly maintained and serviced.</li><li>Ensure the day-to-day operations of both clinics run efficiently, including front-desk operations, scheduling, and staff coordination.</li><li>Coordinate with external service providers, such as labs and partner clinics, to ensure timely service delivery.</li></ul> Compliance and Quality Assurance:<ul><li>Maintain compliance with CQC (Care Quality Commission) standards and other regulatory requirements.</li><li>Conduct regular audits of clinic processes, ensuring adherence to protocols and identifying areas for improvement.</li><li>Stay updated on industry regulations and best practices, implementing changes as needed.</li></ul> Financial and Billing Responsibilities:<ul><li>Track and manage patient billing, ensuring accuracy and timeliness of invoicing and payments.</li><li>Track key performance indicators (KPIs) such as patient volume, monthly audits, satisfaction scores, and staff productivity, and report findings to the Director.</li></ul> Leadership and Collaboration:<ul><li>Foster a positive and collaborative work environment across both locations.</li><li>Act as a key point of contact for all staff, addressing their concerns and supporting them in their roles.</li><li>Liaise with senior management to align clinic goals with the overall strategy of the London Pregnancy Clinic.</li><li>Lead by example to promote a culture of excellence, teamwork, and patient-centered care.</li></ul> Key Skills and Qualifications:<ul><li>Proven experience in clinic or healthcare management, preferably in a multi-site environment.</li><li>Strong leadership and team management skills.</li><li>Exceptional organizational and multitasking abilities.</li><li>Excellent verbal and written communication skills.</li><li>Familiarity with healthcare regulations, including CQC standards.</li><li>Proficiency in clinic management software and tools.</li><li>Financial acumen and experience managing budgets and billing.</li><li>Ability to handle sensitive situations with professionalism and discretion.</li></ul> What We Offer:<ul><li>Competitive salary based on experience.</li><li>Opportunities for professional development and growth.</li><li>A collaborative and supportive work environment.</li><li>The chance to make a meaningful impact on the care of expectant mothers and their families.</li></ul> How to Apply:If you are a dedicated and proactive professional ready to take on the challenge of managing two clinic locations, we would love to hear from you.
